GTNT Group have fully equipped facilities to cater for your next conference, seminar or training event.

Situated in Darwin CBD and a short walk to the Darwin Waterfront Precinct, our rooms can cater for groups up to 50 people. The Harrison and Kakadu rooms can cater individually for up to 20 people per room, alternatively for larger groups these rooms open up and have the capacity to seat up to 50 people. 

Our range of facilities are ideal for classroom style training, presentations and seminars, product launches, demonstrations and meetings. We offer a number of flexible layouts to suit your individual needs and can arrange catering on request.

Hire Standard Times

Full Day Hire is considered as 8am to 5pm. Half Day Hire is considered as 4 hours, with Standard Booking times being 8am to 12pm or 1pm to 5pm. Rooms may be available outside of Half Day Standard Booking times upon request. No discounts on individual bookings as prices already reduced; discount available for bulk bookings (contact Venue Coordinator for more information).

Tentative Booking

Tentative booking swill only be held for a maximum of seven working days. If the booking is not confirmed before the end of this period, GTNT Group reserves the right to allocate the room to another client.

Confirmation

The confirmation of a booking is made once the booking form is completed, submitted and confirmed with a GTNT Group venue staff member. 

Payment

Full payment must be made as per payment terms outlined on the issued invoice and prior to the date of the booking, unless prior approval has been given by a GTNT Group venue staff member. Payment must be made by bank transfer/EFT or cheque.

Should an alternate payment method be required, it must be approved by GTNT Group accounts prior to confirmation of the booking. All payments failed to be made by due date may incur a late fee. 

Cancellations

In the case where a confirmed booking is cancelled, the client may be subject to pay a fee based on a percentage of the cost of the room hire. All cancellations of bookings must be made in writing. 

  • Cancellation of any booking must be made in writing at least 7 working days prior to date booked for use to avoid any cancellation fees.
  • Cancellation of any booking with less than 7 working days notice will incur a 50% cancellation fee of the room hire cost.
  • Full room hire cost and any catering costs will incur if no notification of cancellation of room hire is received prior to room booking.

Liability

GTNT Group reserves the right to refuse or cancel without liability, any function deemed inappropriate by Management and will disrupt the productivity, security, reputation or smooth running of the facilities. 

Set-up and Vacating of rooms

Setup arrangements are to be discussed and confirmed with GTNT Group venue staff when the booking is confirmed. Configuration of table and chairs, visual and audio equipment will be set up prior to your booking by GTNT Group. Any alternations and additional set up by clients needs to be allocated in the duration of the booking. Assistance in the setting up of rooms will be offered on the basis of staff available at the time. If patrons have not vacated room by the end of the hire period, the client will be subject to additional charges, and after hours charges if appropriate. any goods left in the room of hire without prior arrangement may be considered abandoned and may be discarded.

Hire outside of advertised hours

Room hire outside of the advertised hours is available. An early open or late close fee will apply if you require the rooms outside of the advertised operating hours. 

Please note that the online booking calculator only calculates one day of this fee. Therefore, if you are intending to hire the room for multiple days with early or late times this calculation will be amended upon confirmation of your room hire and will be reflected on the invoice.

Displays and Signage

Nothing is to be nailed, screwed, stapled or adhered to any surface of the room (walls, doors, floors, glass etc). The use of pull up banners and display boards are acceptable. GTNT Group venue staff will be available to provide clarification on acceptable displays and signage if required. 

Catering

GTNT Group arrange catering through our preferred supplier and in the event of a booking cancellation, GTNT Group require two (2) business days notice for catering costs to be refunded. Any cancellation outside of this period will still incur the catering costs. 

Any catering (food and/or beverage) not arranged through GTNT Group will be subject to a flat rate cleaning fee of $75.00 per day.

Damages

Clients are financially liable for all damages sustained to the facility by the client and/or any patron attending the facility. This may include and is not limited to extra cleaning charges and the cost to repair/replace damaged furniture or fittings. 

Compliance

The client must conduct their function in an orderly fashion and in full compliance with GTNT Group management and all valid laws. 

Responsibility

GTNT Group will not be responsible for any damages or loss of merchandise and equipment left in the facility prior to, during or after an event. Clients are revised to consider their own insurance or security needs. 

 

House Rules

Clients are required to adhere to the following house rules:

  • Place any rubbish and food scraps from tables, benches and floor into the bins provided
  • Remove all belongings at the completion of the booking
  • Report any equipment faults, breakages and workplace health and safety concerns
  • Be familiar with and communicate to patrons the GTNT Group evacuation and emergency procedures, as advised by GTNT Group venue staff
  • Do not remove any equipment, supplies or fittings from the facility
